Role Restrictions

Collections

Catalogs - restricts users from accessing Objects, Photos, Archives, Library, Deaccessions, Catalog Lists, and Collection Reports. The Catalogs menu option on the Main Navigation Bar is hidden. Users also cannot view the Catalog Records accordions under Accessions, Incoming Loans, Returned Loans, Exhibits, Outgoing Loans, People, and Sites.

 

Objects - restricts users from accessing Object records, All Catalogs Query, and Catalog Lists. Object records will still be listed in the Catalog Records accordions under Accessions, Incoming Loans, Returned Loans, Exhibits, Outgoing Loans, People, and Sites, but they will not be linked to Object records.

 

Photos - restricts users from accessing Photo records, All Catalogs Query, and Catalog Lists. Photo records will still be listed in the Catalog Records accordions under Accessions, Incoming Loans, Returned Loans, Exhibits, Outgoing Loans, People, and Sites, but they will not be linked to Photo records.

 

Archives - restricts users from accessing Archive records, All Catalogs Query, and Catalog Lists. Archive records will still be listed in the Catalog Records accordions under Accessions, Incoming Loans, Returned Loans, Exhibits, Outgoing Loans, People, and Sites, but they will not be linked to Archive records.

 

Library - restricts users from accessing Library records, All Catalogs Query, and Catalog Lists. Library records will still be listed in the Catalog Records accordions under Accessions, Incoming Loans, Returned Loans, Exhibits, Outgoing Loans, People, and Sites, but they will not be linked to Library records.

 

Deaccession - restricts users from accessing Deaccession records and All Catalogs Query. Deaccessioned Catalog Records accordion under Accessions is hidden.

 

Catalog Lists & Inventory - restricts users from accessing Catalog Lists & Inventory. Lists accordion under Objects, Photos, Archives, Library, and Deaccession records is hidden.

 

All Accessions - restricts users from accessing Accessions, Incoming Loans, Returned Loans, Temporary Custody, and Temporary Custody Returned. The Accessions menu option on the Main Navigation Bar is hidden.

 

Accessions - restricts users from accessing Accession records. Accessions will be listed under the Accessions, Incoming Loans and Temporary Custody accordion in Contacts, but they will not be linked to Accession records.

 

Incoming Loans - restricts users from accessing Incoming Loan records. Incoming Loans will be listed under the Accessions, Incoming Loans and Temporary Custody accordion in Contacts, but they will not be linked to Incoming Loan records.

 

Returned Loans - restricts users from accessing Returned (Incoming) Loan records. Returned Loans will be listed under the Accessions, Incoming Loans and Temporary Custody accordion in Contacts, but they will not be linked to Returned Loan records.

 

Temporary Custody - restricts users from accessing Temporary Custody records. Temporary Custody records will be listed under the Accessions, Incoming Loans and Temporary Custody accordion in Contacts, but they will not be linked to Temporary Custody records. **May also want to restrict user from Settings or Accessions & Loans Documents.

 

Temporary Custody Returned - restricts users from accessing Temporary Custody Returned records. Temporary Custody Returned records will be listed under the Accessions, Incoming Loans and Temporary Custody accordion in Contacts, but they will not be linked to Temporary Custody Returned records.

 

Exhibits - restricts users from accessing Exhibit records. The Exhibits menu option on the Main Navigation Bar is hidden. Exhibit-related buttons (Put on Exhibit, Exhibit History, Exhibit Label) do not display on the Location accordion of the catalog records.

 

Outgoing Loans - restricts users from accessing Outgoing Loan records. The Loans menu option on the Main Navigation Bar is hidden. Outgoing Loan-related buttons (Put on Loan, Loan History, Inventory History) do not display on the Location accordion of the catalog records. **May also want to restrict user from Settings or Accessions & Loans Documents.

 

People - restricts users from accessing People & Creators records. The People menu option on the Main Navigation Bar is hidden. People and Creators authority files are still accessible from catalog records.

 

Sites & Localities - restricts users from accessing Sites & Localities records. The Sites menu option on the Main Navigation Bar is hidden. Site authority file is still accessible from catalog records.

Catalog Accordions

Appraisal - hides the Appraisal accordion on Objects, Photos, Archives, Library, and Deaccession records.

 

Condition - hides the Condition accordion on Objects, Photos, Archives, Library, and Deaccession records.

 

Insurance - hides the Insurance accordion on Objects, Photos, Archives, Library, and Deaccession records.

 

Location - hides the Location accordion on Objects, Photos, Archives, Library, and Deaccession records. **May also want to restrict user from Settings or Catalog Item Location Fields as well as Catalog Lists & Inventory.

 

Notes, Legal, Provenance - hides the Notes, Legal, Provenance accordion on Objects, Photos, Archives, Library, and Deaccession records.

 

Repatriation - hides the Repatriation accordion in Objects and Deaccessions.

 

Source - hides the Source accordion on Objects, Photos, Archives, Library, and Deaccession records.

General

Add or Edit Collection Records - restricts users from adding, editing, and deleting collection records, including Objects, Photos, Archives, Library, Deaccessions, Catalog Lists, Accessions, Incoming Loans, Returned Loans, Temporary Custody, Temporary Custody Returned, Exhibits, Loans, People, and Sites.

 

Add or Edit Collection Images - restricts users from adding, modifying, or deleting images and their metadata. Applies to images on Objects, Photos, Archives, Library, Deaccession, Condition Report, Exhibit, People, and Site records.

 

Add or Edit Collection Attachments & URLs - restricts users from adding, modifying, or deleting attached files or URLs. Applies to attachments and URLs on Objects, Photos, Archives, Library, Deaccession, Accession, Temporary Custody, Incoming Loan, Outgoing Loan, Exhibit, People, and Site records. Attachments and URLs are still viewable.

 

View Collections Custom - hides the Custom tab in Objects, Photos, Archives, Library, and Deaccessions. Also hides the Custom accordion in Accessions, Incoming Loans, Temporary Custody, People, and Sites. **May also want to restrict role from Settings or Custom Fields.

 

View Collection Attachments & URLs - hides the Attachments & URLs accordion on Objects, Photos, Archives, Library, Deaccession, Accession, Temporary Custody, Incoming Loan, Outgoing Loan, Exhibit, People, and Site records.

 

Delete Collection Records - restricts users from deleting collections-related records, images, attachments, and Catalog Lists.

 

Modify Catalog Lists - restricts users from adding, editing, or deleting Catalog Lists. Also cannot change records on the lists. Users can still filter, view, print, and export lists.

 

Change Public Access Settings - Public Access checkbox is hidden from Objects, Photos, Archives, Library, Exhibits, People, Sites, and  Images. **May also want to restrict user from Settings or Public Site Settings and Public Access Analytics.

 

Change only records with this Dataset - restricts users to making changes to collection records only within the specified dataset.

Development

Development - restricts users from accessing Contacts, Contact Lists, Campaigns, Pledges & Receipts, Mail & Contact Log, and Contact Reports. The Development menu option on the Main Navigation Bar is hidden. **May also want to restrict role from Settings or Contacts Settings.

 

Contact Lists - restricts users from accessing Contact Lists. List accordion under Contacts is hidden.

 

Campaigns - restricts users from accessing Campaigns.

 

Pledges & Receipts - restricts users from Pledges & Receipts. Donations, In-kind Gifts, and Dues Payments can be added from Contact records. New pledges cannot be added through Contacts. Schedule of Payments for pledges is not accessible from the Pledges accordion in Contacts.

 

Mail & Contact Log - restricts users from the Mail & Contact Log. Mail & Contact Log accordion is hidden on Contact records. Can still add new Mail & Contact Log entries when prompted after doing a mailing.

Contact Accordions

Contacts Custom - hides the Custom accordion in Contacts. **May also want to restrict user from Settings or Custom Fields.

 

Activities & Planned Giving - hides the Activities & Planned Giving accordion in Contacts.

 

Donations - hides the Donations accordion in Contacts. Donations are still accessible through Pledges & Receipts.

 

Giving Summary - hides the Giving Summary accordion in Contacts.

 

In-Kind Gifts - hides the In-kind Gifts accordion in Contacts. In-kind Gifts are still accessible through Pledges & Receipts.

 

Membership - hides the Membership accordion in Contacts. Membership Dues are still accessible through Pledges & Receipts.

 

Pledges - hides the Pledges accordion in Contacts. Pledges and Pledge Payments are still accessible through Pledges & Receipts.

 

Volunteer Information - hides the Volunteer Information accordion in Contacts.

General

Add or Edit Development Records - restricts users from adding, editing and deleting development records, including Contacts, Contact Lists, Campaigns, Membership Dues Payments, Donations, In-Kind Gifts, Pledges, and Pledge Payments.

 

Add or Edit Contact Images - restricts users from adding, modifying, or deleting contact images and their metadata. Images are still viewable.

 

Add or Edit Development Attachments & URLs -  restricts users from adding, modifying, or deleting attached files or URLs in Contacts and Campaigns. Attachments and URLs are still viewable.

 

View Contacts and Campaigns Attachments & URLs - hides the Attachments & URLs accordion in Contacts and Campaigns.

 

Delete Development Records - restricts users from deleting development-related records, images, attachments, and Contact Lists.

 

Modify Contact Lists - restricts users from adding, editing, or deleting Contact Lists. Also cannot change records on the lists. Users can still filter, view, print, and export lists.

Software General

Reports - hides the Reports menu option on the Main Navigation Bar. Users can still print from records, queries, and lists.

 

Collection Reports - hides Collection Reports option under Reports. Users can still print from records, queries, and lists.

 

Development Reports - hides Development Reports option under Reports. Users can still print from records, queries, and lists.

 

Custom Reports - hides Custom Reports option under Reports. Users can still print from records, queries, and lists.

 

Print - hides the Print button on queries, records, and lists. Can still print some development letters.

 

Export to CSV - hides the Export to CSV button on query screens and lists.

 

Print/Email Letters - restricts users from printing, emailing, or saving letters to PDF. Include both collection letters (donor documents, loan agreement, etc) as well as development letters (Letter & Email Templates, Donation Thank You Letters, Pledge Letters, etc)

 

Search - hides the search functions (Quick Search, Full Catalog Search, Search by Lexicon)  accessible through the magnifying glass icon at the top of every screen.

Utilities & Settings

Utilities - hides the Utilities menu option on the Main Navigation Bar, restricting access to Data Export, Data Import, Public Access Analytics, Recycle Bin, and User History.

 

Data Export - restricts users from accessing the Data Export option under Utilities. Users can still export to CSV from queries and lists.

 

Data Import - restricts users from accessing the Data Import option under Utilities.

 

DPLA Export - restricts users from accessing the DPLA Export option under Utilities.

 

Public Access Analytics - restricts users from accessing Public Access Analytics under Utilities.

 

Recycle Bin - restricts users from accessing the Recycle Bin under Utilities.

 

User History - restricts users from accessing the User History option under Utilities.

 

Settings - hides the Settings menu option on the Main Navigation Bar.

 

Accession & Loan Documents - restricts users from accessing Accessions & Loans Documents under Settings.

 

Authority Files - restricts users from adding, editing, and deleting most authority file entries.  Authority Files option under Settings is hidden. Note: People and Sites serve as their own authority files and are exceptions to this restriction.

 

Catalog Filter & Option Fields - restricts users from accessing Catalog Filter & Option Fields under Settings. Users with this restriction cannot change the fields available in catalog query filters or options.

 

Contact Filter & Option Fields - restricts users from accessing Contact Filter & Option Fields under Settings. Users with this restriction cannot change the fields available in contact query filters or options.

 

Catalog Item Location Fields - restricts users from changing the name of the location fields. Catalog Item Location Fields option under Settings is hidden.

 

Contact Settings - restricts users from modifying contact settings, including adding/editing/deleting Letter & Email Templates, Funds, Membership Types, Membership SubTypes, Volunteer Projects and Pledge & Receipts Letter Templates. Contact Settings option under Settings is hidden.

 

Custom Fields - restricts users from adding and removing custom fields. Custom Fields option under Settings is hidden. Data in custom fields can still be viewed and modified on the records.

 

Email Settings - restricts users from changing the email settings. Email Settings option under Settings is hidden.

 

Lexicon - restricts users from accessing Lexicon under Settings and prevents users from adding new or unclassified terms while adding or editing catalog records.

 

Public Site Settings - restricts users from modifying the settings for their Public Access site. Public Site Settings option under Settings is hidden.

 

Roles & Restrictions - restricts users from modifying roles and which restrictions are assigned to each role. Roles & Restrictions option under Settings is hidden.

 

User Accounts - restricts users from adding, editing, and removing user accounts to login. User Accounts option under Settings is hidden.
