Container Lists

Container Lists can be used when cataloging archival material that contains multiple items, housed within a single container. Examples include a list of documents within a folder or a list of folders within a box.  The items within the Container List are part of the larger archival record and share the majority of the same data. Container List records only have a few fields to capture the data that might be different for each of the container list items.

 

 

On Archive records, you can create, view, and search the Container List within the Container List Accordion.

 

Add Container List Record

  1. Click "Edit" in the Edit Bar at the top of the screen
  2. Click "Add Container" within the Container List Accordion under the Archive tab
  3. Fill in the required Location field and additional fields as needed
  4. Click "Save" on the pop-up window
  5. Click "Save" in the Edit Bar at the top of the screen

Search Container List

At the top of the Container List Accordion, there is a search function.  This search will search all fields displayed in the Container List grid for this one Archive Record. After the search is complete, you can click "View All" to return to displaying all container list items.

Print Container List

Use the "Print" button on the Container List Accordion to preview a report of all of the Container List records associated with this Archive record.

View/Edit Container List Record

  1. Click "Edit" in the Edit Bar at the top of the screen
  2. Click the hyperlink in the Location column within the Container List Accordion
  3. View the record or make your changes
  4. Click "Save" on the pop-up window
  5. Click "Save" in the Edit Bar at the top of the screen

Delete Container List Record

  1. Click "Edit" in the Edit Bar at the top of the screen
  2. Hover over the Container List record you want to delete in the Container List Accordion
  3. Click the Trash Can icon on the far right side of the record
  4. Click "Yes" to confirm
  5. Click "Save" in the Edit Bar at the top of the screen
