Actual Visitor Count

Use the Actual Visitor Count field to record the number of visitors who actually attended an exhibit.

Additional Carriers

Enter the names of other companies or entities that will be involved in the transportation of the shipment.

Advisory Board

Many museums consult with community advisory boards to assist in the planning of exhibits. These boards are made up of community members, tribal leaders and scientific experts. An advisory board can help curators and exhibit staff create exhibits that reflect the needs of the community. Use this field to record the name of the advisory board that consulted on the creation of an exhibit.

Alternate No

Use this field to record the exhibit contact's alternate phone number.

Arrive Date

The Arrive Date field is used to record the date upon which the exhibit materials reached their destination.

Crate List

The Crate List is used to list the number and description of crates in the shipment.

Crate Types

The Crate Types field is used to enter the type of crate used. For example: Wood, Plastic, Metal, or Cardboard.

Curator

The Curator field is used to record the name of the person who is managing, overseeing or administering the exhibit. This field is controlled by an authority file.

Dataset

The Dataset field is a way to indicate which records are part of certain groups. It is a remnant field from older versions of the software. This field is controlled by an authority file.

Description

The description field may be used to describe any aspect of the exhibit, including purpose, methods, and resources.

Email

Use this field to record the exhibit contact's email address.

End Date

End Date records the closing date of the exhibit.

Entered

The date and time the record was added is automatically entered in this field.

Entered by

The name of the person who added the record is automatically entered.

Estimated Visitor Count

This field is used to estimate the number of visitors projected to attend an exhibit.

Exhibit Name

Exhibit Name is used to record the official name of an exhibit. For example, "The Baby Boom: A Retrospective."

Fire Prevention

Use the Fire Prevention field to describe the details of the fire suppression system or any special precautions being used to protect the exhibit space from fire.

Form of Transportation

Use this field to describe the form of transportation for the items to and from the exhibit location. For example, "truck."

Handlers

List the person or people responsible for handling the exhibit materials during shipping.

Humidity

The Humidity field is used to record the humidity parameters for the items on exhibit.

Installer

Installer lists the name or names of persons responsible for installing the exhibit. This field is controlled by an authority file.

Insurance Company

Insurance Company is used to record the name of the insurance company responsible for insuring the items in the exhibit.

Insurance Phone No

Insurance Phone No is used to record the phone number of the insurance company that insures the items.

Insurance Policy Expiration Date

Use this field to record the date upon which the policy will expire.

Insurance Policy No

Insurance Policy No is used to record the insurance policy number covering the items.

Insurance Premium

Insurance Premium is used to record the dollar amount of the insurance policy.

Insurance Representative

Insurance Representative is used to record the name of the insurance agent responsible for the policy insuring the items.

Insured Value

Insured Value is used to record the amount of insurance coverage on the item(s) in an exhibit.

Insured by

Select the radio button to indicate whether the incoming loan items are insured by the borrower or the lender.

Last modified

The last date and time the record was changed is automatically entered in this field.

Last modified by

The name of the last person to edit the record is automatically entered in this field.

Light Level

Light level allows you to specify the lighting requirements for the objects in the exhibit. These may be expressed in lumens or foot candles.

Location

Enter the location where the borrowed materials will be housed. Example: "Chrysler Building Lobby."

No of Crates

Enter the number of crates in the shipment comprising the exhibit.

Notes

The Notes field may be used to record any additional information. There is no limit to the number of lines or the type of information recorded in this field.

Other Requirements

Use this field for any additional specifications for climate control for the exhibit.

Phone No

Use this field to record the exhibit contact's primary phone number.

Primary Carrier

Enter the name of the company or entity that is primarily responsible for the transportation of the shipment.

Primary Contact

Use this field to record the exhibit's primary contact.

Public Access

Place a check mark in this box if you want to include this exhibit on your public site. Sharing records requires the Public Access add-on.

Purpose

Give a short description of the purpose of the loan. Example: "Museum Exhibit, Treasures of the West."

Restrictions

Record information about any restrictions imposed on access to the materials in this exhibit. Make a note specifying the details of the restriction, including the date when such restrictions will be lifted. Additional information should be recorded regarding jurisdiction, i.e. the person, institution, or entity through which the terms governing access are imposed, enforced, or appealed.

Security

Use this field to record any special security measures required to protect the items on exhibit.

Ship Date

The Ship Date field is used to record the date upon which the exhibit materials were shipped.

Shipped from

Enter the name of the institution from which the exhibit items were shipped.

Shipped to

Enter the name of the institution to which the exhibit items were shipped.

Shipping Notes

Use the Shipping Notes field to record additional information about the shipping that may be relevant to this exhibit that has not been covered in the other fields.

Staff Required

Use the Staff Required field to record any special staff requirements for an exhibit.

Start Date

Use the Start Date field to record the date on which the exhibit is scheduled to open.

Temperature

Use the Temperature field to record any special temperature requirement for the items on exhibit.

Total Cost

Use the Total Cost field to record the cost of mounting the exhibit.

Total Revenue

Total Revenue is the total gate receipts for the exhibit. This can be compared to the Total Cost number for analysis.

Tracking No

Record the shipping tracking number in this field.

Transportation cost paid by

Select whether the transportation costs for the exhibit items will be paid for by the borrower or lender.
