Working with Letters and Emails

1.Add New Letter and Email Template


1.Go to "Settings" on the Main Navigation Bar and select "Contacts Settings"

2.Click "New Template" under the Letter & Email Templates section

3.Type in a unique name for your template in the Name field

4.Customize the template with any text, fields, logos, and formatting

5.Click "Save"



2.Edit Existing Letter and Email Template


1.Go to "Settings" on the Main Navigation Bar and select "Contacts Settings"

2.Click the name of the template you wish to edit under the Letter & Email Templates section

3.Customize the template with any text, fields, logos, and formatting

4.Click "Save"



3.Send Individual Letter/Email

1.Go to "Development" on the Main Navigation Bar and select "Contacts"

2.Locate the contact to whom you want to send the letter/email

3.Click the Id No hyperlink to access the contact record

4.Click "Letters" at the top of the Contact record

5.Select the letter template you wish to use

6.Select the email address you wish to use, if applicable

7.Use the "Save as PDF" or "Send Email" options to produce the document in the desired format

8.Choose whether you want to add the entry to the Mail & Contact Log



4.Print Individual Mailing Label


1.Go to "Development" on the Main Navigation Bar and select "Contacts"

2.Locate the contact for whom you want to print the label

3.Click the Id No hyperlink to access the contact record

4.Click "Letters" at the top of the Contact record

5.Click "Print Label"

6.Enter a Start position on the page

7.Click "Preview"

8.Choose whether you want to add the entry to the Mail & Contact Log

9.Choose "Save as PDF" or "Print"



5.Send Bulk Letters/Emails from Contacts Query

1.Go to "Development" on the Main Navigation Bar and select "Contacts"

2.Use filters to narrow down the list of contacts to only those people who should receive the mailing

3.Click "Email or Print Letters"

4.Select the letter template you wish to use

5.Decide if you want to include contacts marked as stop mail

6.If emailing, decide if you want to include secondary or other email addresses

7.Select one of the output options: "Printing Mailing Labels", "Print Letters to PDF", "PDF Preview of Email" or "Send All Emails Now"

8.Choose whether you want to add the entry to the Mail & Contact Log



6.Send Bulk Letters/Emails from Contact Lists

1.Go to "Development" on the Main Navigation Bar and select "Contact Lists"

2.Click the List Name hyperlink for the list you want to use

3.Click "Letters & Labels" at the top of the Individual List screen

4.Select the letter template you wish to use

5.If emailing, decide if you want to include secondary or other email addresses

6.Select one of the output options: "Printing Mailing Labels", "Print Letters to PDF", "PDF Preview of Email" or "Send All Emails Now"

7.Choose whether you want to add the entry to the Mail & Contact Log



7.Print Bulk Mailing Labels

1.Identify the contacts for whom you want to print labels either using filters on the Query screen or viewing a populated Contact List

2.On the Query screen, click "Email or Print Letters" or from a Contact List, click "Letters & Labels"

3.Click "Print Mailing Labels" and enter a start position on the page

4.Click "Preview"

5.Choose whether you want to add the entry to the Mail & Contact Log

6.Choose "Save as PDF"

7.Open the PDF and print at 100%
