Condition
The Condition Accordion provides all the fields needed to keep track
of both the condition of an item as well as any required routine maintenance
scheduling. The top part of the accordion contains fields for Condition,
Condition Date, Display Value, and General Condition Notes, followed by
a listing of all Condition Reports for this item.

Add Condition Report
- Click "Edit" in the Edit Bar at the top of the catalog
record
- Click the Condition Accordion bar to expand it
- Click "New Report"
- Fill in the Date of Report,
Type of Report, Condition,
and Report Created by fields
- The Type of Report, Condition, and Reported Created by fields
are controlled by authority files (See Using
Authority Files)
- Fill in additional fields if needed
- The five condition fields on the right side of the screen allow
multiple entries (See Using
Authority Files)
- Click "Save" on the pop-up window
- The Confirmation Message pop-up window will ask if you want to
update the current information listed on the record. Click "Yes"
or "No."
- Click "Save" in the Edit Bar at the top
of the screen

Add Image to Condition Report
- Click "Edit" in the Edit Bar at the top of the catalog
record
- Click the hyperlink in the Date column for the condition report
you want to add images to
- Click the "Image Management" button
- Click "Add Image"
- Navigate to the image you want to attach and double click it. The
image should appear on the Image Management screen.
- If desired, make modifications to the image using the Action buttons
below the image (See Image
Management)
- Fill out the metadata fields at the bottom
- Click "Save" on the Image Management pop-up window
- Click "Save" on the Condition Report pop-up window
- The Confirmation Message pop-up window will ask if you want to
update the current information listed on the record. Click "Yes"
or "No."
- Click "Save" in the Edit Bar at the top of the screen
Print Condition Report
For Condition Reports, you can print a list
of all the condition reports associated with an item or you can print
an individual report.
To print the list of all condition reports
for one item, use the "Print" button in the Condition Accordion
to preview and then print.
To print an individual condition report, click
the hyperlink in the Date column for the condition report you want to
print. Then, click "Print" in the top right corner of the pop-up
window.
View/Edit Condition Report
- Click "Edit" in the Edit Bar at the top of the catalog
record
- Click the hyperlink in the Date column for the condition report
you want to view or edit
- View the record or make your changes
- Click "Save" on the pop-up window
- The Confirmation Message pop-up window will ask if you want to
update the current information listed on the record. Click "Yes"
or "No."
- Click "Save" in the Edit Bar at the top of the screen
Delete Condition Report
- Click "Edit" in the Edit Bar at the top of the catalog
record
- Hover over the Condition Report that you want to remove
- Click the Trash Can icon on the right end of the row
- Click "Yes" to confirm
- Click "Save" in the Edit Bar at the top of the screen
Maintenance Scheduling
The fields at the bottom of the Condition Accordion allow you to track
the maintenance start date, maintenance interval, and detailed notes and
maintenance history for each item. The maintenance interval can be set
for daily, weekly, monthly, quarterly, semiannually, yearly, every two
years, every five years, or never. You decide the appropriate interval
for the treatment and cleaning for each item in your collection, and then
you can filter on these fields to produce lists of items requiring maintenance.
